Role Purpose
The Senior Document Controller is responsible for overseeing the control, distribution, and maintenance of all project documentation to ensure compliance with company and contractual standards. The role involves managing the document control team, ensuring timely document flow, and maintaining accurate records throughout the project lifecycle.
Key Accountabilities
- Lead and supervise the document control project site team, providing direction, guidance, and support in day-to-day operations.
- Develop and implement document control policies, procedures, and standards in alignment with organizational goals and regulatory requirements.
- Establish document control workflows, including document creation, review, approval, distribution, and archiving processes.
- Monitor document lifecycle management, ensuring proper version control, revision tracking, and retention schedules are maintained.
- Collaborate with internal departments and external stakeholders to streamline document management processes and improve efficiency.
- Conduct regular audits and assessments of document control practices, identifying areas for improvement and implementing corrective actions.
- Provide training and mentorship to project document control staff, promoting professional development and knowledge sharing.
- Oversee the implementation and maintenance of electronic document management systems (EDMS) or other document control software.
- Act as a subject matter expert on document control matters, advising project teams and management on best practices and compliance requirements.
- Serve as a liaison between document control, quality assurance, project management, and other functional areas within the organization.
Qualifications, Experience, Knowledge & Skills
- Bachelor’s degree in Business Administration, Engineering, or related field.
- Minimum 6-9 years of experience in document control, with at least 3 years in a senior or supervisory role within the construction industry.
- Experience in large-scale infrastructure or building construction projects is highly preferred.
- Proficient in EDMS platforms (e.g., Aconex, Procore, Asite, SharePoint & Autodesk Construction Cloud-Build & Unifier).
- Strong understanding of document control standards and construction project workflows.
- Excellent organizational and leadership skills.
- Strong attention to detail and ability to manage large volumes of documentation.
- Fluent in English (written and spoken); Arabic is a plus.
