Role Purpose
The Project Document Controll Lead is responsible for overseeing the control, distribution, and maintenance of all project documentation to ensure compliance with company and contractual standards. The role involves managing the document control team, ensuring timely document flow, and maintaining accurate records throughout the project lifecycle.
Key Accountabilities
- Manage and oversee the document control team, ensuring efficiency and accuracy in their work.
- Delegate tasks to team members and monitor their progress to meet project deadlines.
- Implement and maintain document management systems, ensuring seamless operation.
- Ensure consistency in document control processes across multiple projects.
- Ensure all documentation adheres to company and project standards, regulations, and legal requirements.
- Train and mentor document controllers to enhance their skills and knowledge.
- Conduct quality checks on documents to ensure accuracy, completeness, and proper formatting.
- Maintain version control and ensure all stakeholders work with the latest documents.
- Manage sensitive or high-priority documentation with appropriate confidentiality.
- Resolve document control challenges and escalate significant risks when necessary.
- Identify areas for improvement in document control workflows and implement corrective measures.
- Act as the main point of contact for document control-related matters with internal and external teams.
- Generate regular reports on the status of documentation, tracking progress, issues, and milestones.
- Ensure the document control system is audit-ready and compliant with internal and external requirements.
- Assist in managing document changes during project updates or revisions.
Qualifications, Experience, Knowledge & Skills
- Bachelor’s degree in Business Administration, Engineering, or related field.
- Minimum 7-10 years of experience in document control, with at least 3 years in a senior or supervisory role within the construction industry.
- Experience in large-scale infrastructure or building construction projects is highly preferred.
- Proficient in EDMS platforms (e.g., Aconex, Procore, Asite, SharePoint & Autodesk Construction Cloud-Build & Unifier).
- Strong understanding of document control standards and construction project workflows.
- Excellent organizational and leadership skills.
- Strong attention to detail and ability to manage large volumes of documentation.
- Fluent in English (written and spoken); Arabic is a plus.
