Role Purpose
To lead project document control activities for infrastructure works (roads, utilities, drainage, and marine works where applicable), ensuring accurate registration, distribution, revision control, and timely submission/return of project documents (drawings, RFIs, submittals, correspondence and close-out dossiers) in line with contract requirements and Innovo standards.
Key Accountabilities
- Establish and manage the project document control system and workflows (Aconex/Asite/Procore/SharePoint or project-specific platform), ensuring compliance with client/consultant requirements.
- Maintain master registers for infrastructure deliverables: drawings, shop drawings, material submittals, method statements, RFIs, NCRs, MIR/WIR, correspondence, and transmittals.
- Control document numbering, templates, distribution matrices, and approval workflows; ensure correct stakeholder routing and timely turnaround.
- Manage full revision control: ensure only latest approved revisions are issued to site; archive superseded documents and maintain traceability.
- Coordinate submission schedules with Technical, QA/QC, Planning and Construction teams to meet programme-driven deliverable dates (e.g., IFC drawings, utilities NOCs, inspection packs).
- Register and distribute incoming/outgoing client/consultant correspondence, ensuring proper filing, action assignment, and follow-up for responses.
- Support infrastructure interface documentation (utility diversion records, permits, traffic management approvals, test results, as-built/redlines, handover requirements).
- Compile and maintain close-out documentation: as-built dossiers, test packs (compaction, concrete, asphalt, pressure testing, CCTV where applicable), warranties, manuals, permits/NOCs, and completion certificates.
- Conduct periodic audits on document registers and site copies to confirm compliance and prevent rework caused by incorrect revisions.
- Provide weekly reporting on document status (overdue approvals, pending responses, submission volumes, ageing), highlighting risks to programme.
- Train and guide junior document controllers and ensure consistent filing discipline across multiple infrastructure sites/projects.
Qualifications, Experience, Knowledge & Skills
- Diploma/Bachelor’s preferred (Business Administration, Engineering, or related)
- 7+ years’ experience in document control, with strong exposure to infrastructure projects (roads/utilities/drainage; marine advantageous)
- Proven experience leading project registers and managing high-volume submissions and approvals with client/consultant systems
- Strong knowledge of transmittals, distribution matrices, numbering systems, and close-out dossier compilation
- Strong English communication; UAE/GCC experience preferred
